Non -Profit Fundraising Event Policy

Upon Committee approval, Mackenthun’s Fine Foods may offer up to a 25% donation subsidy on regular prices for qualifying fundraising events sponsored by non-profit groups. This subsidy does not apply to Coca Cola, Pepsi or American Bottling products. 

Mackenthun’s Charitable Giving Committee meets the first week of each month to review requests. Submitting your request 45 days in advance ensures adequate time for processing. Request status is provided via email.

Thank you for your interest in Mackenthun’s Fine Foods bagging fundraiser. We receive requests from many organizations regarding this fundraiser, so keep in mind that we cannot honor all requests. Please review the guidelines to determine if this event is right for your group. If you would like to participate, complete and submit an application. Our committee will then review all requests and award the available dates. Thank you for considering us for your fundraising efforts!

INSTRUCTIONS

  • Please review Mackenthun’s bagging instructions before your fundraiser. Each member should be trained in proper bagging techniques.
  • No eating or drinking while bagging groceries.
  • Please take your breaks in our employee breakroom.
  • Do not ask for tips. The tip containers are there for the customers to tip if they choose.
  • Please first ask customers if they would like their groceries bagged. Some customers prefer to bag their own.
  • Please ask customers if they prefer plastic, paper or reusable bags.
  • Carefully check to ensure each customer receives all of their groceries before moving on to bag the next order.
  • Remember to thank each customer!

RESPONSIBILITIES

  • Please wear a shirt identifying your group.
  • Mackenthun’s requires name tags for all members.
  • Closed toe shoes must be worn for safety reasons.
  • It is helpful to have long hair pulled back.
  • Designate at least one adult each shift as a group leader.
  • Divide hours for bagging into shifts, making sure all hours are covered (we suggest limiting your shifts to 3 or 4 hours).
  • For all events including holidays, we require a minimum of 6 volunteers and a maximum of 12 on duty during designated times – one to two volunteer(s) for each check lane.
  • Volunteers under the age of 14 need adult supervision, 1:1
  • For the day and time of the event our usual baggers are not scheduled, so it is imperative that your group meets the staffing requirements.
  • You must contact us at least 3 weeks in advance if you determine that your group cannot fully staff your event.
  • Provide two posters (22” × 28”) with info about your group, what you are raising funds for, and that you are bagging groceries for tips. We will put these in prominent locations in the store.
  • Please make sure each volunteer bagger is able to answer questions about your group and what you are raising funds for.

STRATEGY

  • We can help promote your group and bagging fundraiser! Please send information such as your fundraising goals, your website address, social media, and group photo to [email protected]
  • Provide up to two posters (22” × 28”) with information about your group, what you are raising funds for, and that you are bagging groceries for tips. We’ll put these in prominent locations in the store.
  • Provide 10 containers for tips and place them at the end of each check lane. Clearly mark the containers with your group’s information on them. Some customers prefer to use their credit card for tips. We add the tip to their order using a unique code and reimburse your group by check the following week.
  • At the completion of your fundraiser, please notify Mackenthun’s of the amount raised.
  • Consider creating a thank-you that we can post in our media to our customers for supporting your group.

Thank you for your interest in Mackenthun’s outdoor Mack Shack fundraiser for non-profit organizations! The Mack Shack is available at Mackenthun’s from end of May through the end of August, on Wednesday, Thursday or Friday.  Please read the following information to determine if this fundraiser is right for your group.

Important Information for Your Event

Each fundraiser event will have a designated POC (Point of Contact) on-site to answer questions and help guide your group through setup and the event. Your POC will also serve as the event griller.

Food Commitment & Ordering

One week prior to your event, your organization must email with the approximate quantities your group is committing to for the fundraiser. Example quantities may include:

  • 50 burgers and buns
  • 75 brats and buns
  • 50 hot dogs and buns
  • 50 cookies

All meat and bakery items committed to for the event are the responsibility of your organization. The cost of these items will be deducted from your fundraiser proceeds at the end of the event. Any remaining unused product is yours to take home.

Food Billing Guidelines

Any food product that is opened, handled, or cooked during the event will be charged to the group. If additional product is needed during the fundraiser, your POC can assist in retrieving more items.

 Usage Fee

A $50 usage fee will apply to each fundraiser event. This fee helps cover the use of the Mack Shack, grill, propane/gas, utensils, roasters, tables, and related equipment.

Cleanup Responsibilities

Your group is responsible for cleaning the fundraiser area at the conclusion of the event. This includes, but is not limited to:

  • Cleaning roasters
  • Wiping down tables
  • Basic grill cleanup
  • Removing trash and supplies

Your POC will inspect the area and has final approval on whether cleanup meets Mackenthun’s standards before the group leaves.

Promoting Your Fundraiser

The success of your fundraiser starts with a strong advertising strategy. Word-of-mouth promotion is a great place to begin; encourage members of your organization to spread the word about your fundraiser at Mackenthun’s. Be sure to display clear, eye-catching signage that includes your organization’s name, fundraiser purpose, how funds will be used, and item pricing. This information helps potential supporters better connect with your cause. Mackenthun’s also offers an email marketing and social media template that your organization can customize by adding your logo and event details. When promoting your fundraiser online, feel free to add Mackenthun’s as a collaborator on social media posts to help expand your reach. Creative marketing ideas are always encouraged with prior approval from Mackenthun’s

*Please note in the case of inclement weather, the fundraising event may be cancelled and we will work with you to reschedule.
